Asset Tracking

Know where every machine is, and what's plugged into it.

TRACEMON tracks the location, identity, and attached monitors of every Windows device on your network, from a dashboard that runs entirely on your own premises.

Overview

What TRACEMON is

TRACEMON is an on-premises asset tracking system for fleets of Windows machines. A lightweight agent on each device reports its identity, its location, and the monitors attached to it, and a central dashboard gives IT a live view of the whole asset pool: where each machine is, who is logged into it, what is plugged into it, and which devices need attention.

Everything runs inside your own network. The agent enrolls once, checks in on a schedule, and answers on-demand location pings within minutes. Location comes from the Windows Location API on WiFi-equipped laptops and from subnet-to-site mapping for wired desktops, so both halves of a typical fleet resolve to a real place without any manual inventory work.

The whole asset pool

Every Windows device checks in on schedule with its site, logged-in user, and last check-in time.

How It Works

Three components, one system

Each part is developed and deployed independently, and works together as one product.

Device Agent

On every tracked machine

Enrolls once, reports identity, location, and attached monitors on a schedule, and answers on-demand pings.

On-Prem Server

Inside your network

Resolves each check-in to a site, tracks monitors, and evaluates the offline, moved, and idle alert rules.

Dashboard

Web application

Asset Pool, device detail with map and history, sites and mappings administration, and the alerts page.

Alerts surface on the dashboard's alerts page, with email available as an optional extra, and close themselves again once the condition clears.

Business Problem

The problems TRACEMON solves

  • No reliable record of where any given machine physically is
  • Asset registers that drift out of date the moment hardware moves
  • Monitors and peripherals that are never tracked at all
  • Machines that quietly move between sites without anyone noticing
  • Idle hardware sitting unused because nobody knows it's idle
  • Manual stock-takes that are expensive, slow, and stale on arrival
  • Asset and location data that cannot be sent to a third-party cloud

Capabilities

What it does

  • Lightweight Windows agent that enrolls once and runs as a self-healing service
  • Scheduled check-ins every four hours, configurable, plus on-demand location pings
  • GPS location via the Windows Location API on WiFi-equipped laptops
  • Subnet-to-site mapping for wired desktops, most specific match winning
  • Attached monitor tracking: make, model, and serial, with connect and disconnect history
  • Logged-in user, OS version, and agent version recorded on every check-in
  • Asset Pool fleet view with search, and site and status filters
  • Device detail with map, 30-day history, and home-site assignment
  • Sites and mappings administration feeding the location resolver
  • Self-resolving alerts: offline, moved, and idle for 30 days
  • Snipe-IT inventory integration, matched by serial
  • Silent fleet-wide rollout by GPO, using a tested installer
  • Runs entirely on-premises as a Windows service, with a documented backup and restore procedure

Detailed Capabilities

TRACEMON feature by feature

What each capability does, and why it matters.

Location Without Manual Inventory

GPS on WiFi laptops, subnet-to-site mapping on wired desktops.

Laptops with WiFi report exact coordinates through the Windows Location API. Wired desktops resolve through a subnet and gateway mapping table, with the most specific matching CIDR winning. Devices that match neither are still recorded with their raw network facts, so an administrator can extend the mapping table rather than losing the device.

Both halves of a typical fleet resolve to a real place, with no manual data entry.

On-Demand Location Ping

Ask any device where it is right now, and get an answer within minutes.

Between scheduled check-ins, the agent polls for commands every few minutes. Requesting a ping from the device page queues a command the agent picks up on its next poll, so a specific machine can be located on demand without waiting for its next scheduled check-in.

Locating a specific machine takes minutes, not days.

Attached Monitor Tracking

Make, model, and serial of every attached display, with connect and disconnect history.

Each check-in reports the displays currently attached to the device. Monitors are recorded per device with their manufacturer, model, and serial, and both first-seen and last-seen timestamps, so a display that is unplugged and moved elsewhere leaves a trail.

Peripherals stop being the assets nobody can account for.

Self-Resolving Alerts

Offline, moved, and idle-for-30-days conditions, which close themselves when they clear.

Three rules run on a cycle: a device that misses its check-in window, a device whose resolved site differs from its assigned home site, and a device unseen for 30 days. Only one alert is open per condition per device, enforced at the database level, and alerts resolve themselves automatically when the condition clears.

A short alert list that reflects what is actually wrong right now.

Fleet-Wide Silent Deployment

GPO rollout with a tested installer, and an agent that survives reboots and outages.

The agent installs silently through Group Policy and runs as a Windows service that starts on boot. It self-heals through network outages and server restarts, and re-enrolling a reimaged machine keeps its existing identity and history rather than creating a duplicate.

Deploy across the whole fleet without touching any of them.

Snipe-IT Inventory Integration

Matches devices to your existing inventory by serial number.

Devices are matched to Snipe-IT inventory records by serial, bringing across the asset tag, assigned user, and recorded inventory location. Where the inventory location disagrees with the observed site, the device page notes the difference rather than raising an alert, since inventory paperwork lagging reality is routine.

Your existing asset register and observed reality, side by side.

Runs Entirely On Your Premises

Server and dashboard run inside your network, as a Windows service.

Both the agent and the server run inside the customer's own network, with no cloud component and no device or location data leaving the building. The server runs as a Windows service that survives reboots, and ships with a documented and tested backup and restore procedure.

Employee location data never leaves your network.

Who It's For

Teams that use TRACEMON

  • IT and Tech Ops teams managing large Windows fleets
  • Organisations with many branches or business units
  • Businesses running a formal asset register they need to keep honest
  • Teams that cannot send device or location data to a cloud service

Business Benefits

Why TRACEMON pays off

  • A trustworthy answer to "where is that machine", without walking the floor
  • Monitors and peripherals tracked as assets, not forgotten between audits
  • Devices that quietly moved site are surfaced rather than discovered at audit time
  • Machines idle for weeks are flagged, so unused hardware can be recovered and reissued
  • No cloud dependency and no asset data leaving your network

FAQ

TRACEMON frequently asked questions

They answer different questions. WINMON tells you whether a machine is healthy: CPU, memory, disk, and event-log errors. TRACEMON tells you where a machine is and what is plugged into it. They complement each other, and a fleet can run both.
